These Terms of Service (“Terms”) govern attendance at Wise Women Gathering (“the Conference”, “WWG”), an educational conference held within the wider work of institute for self crafting and organised by hollie wildëthorn (“we”, “us”, “our”).

Wise Women Gathering is held through relationship, shared responsibility and mutual care. These policies exist to support a nourishing, respectful and sustainable gathering for everyone. By purchasing a ticket, attending the Conference, or participating in any WWG activities, you agree to these Terms and to the policies incorporated by reference below.

If you do not agree, please do not attend the Gathering.

1. nature of the gathering

Wise Women Gathering is an educational conference for practitioners and lay women. The Gathering includes workshops, panels, ritual, discussion, embodied practices and community activities exploring herbal wisdom, women’s health, women’s mysteries, cultural traditions and holistic living.

WWG is not a therapeutic program and does not provide medical, psychological or clinical services. Participation does not create a therapeutic or clinical relationship.

2. eligibility and attendance

You confirm that you are aged 18 years or older, or that you are attending with responsibility for a child under the Children at WWG Policy.

You agree to provide accurate registration information and to comply with all Gathering policies, guidelines and staff directions.

3. participation, consent and personal responsibility

The Conference takes place in group settings. While care is taken to foster respectful and nourishing spaces, confidentiality cannot be guaranteed in group environments.

You are responsible for:

  • choosing how and whether you participate

  • monitoring your own physical, emotional and psychological limits

  • seeking professional support outside the Conference if needed

You agree to take responsibility for your own wellbeing and participation choices.

4. community conduct and code of care

All participants, educators, volunteers and carers are required to conduct themselves with respect, responsibility and care.

By attending WWG, you agree to comply with the WWG Code of Care, including:

  • respecting boundaries and consent

  • refraining from harassment, intimidation or harm

  • not sharing others’ personal stories or identifying details without consent

We reserve the right to intervene, remove participants from sessions, or deny future attendance where conduct breaches these expectations.

5. children, families and care responsibilities

Wise Women Gathering is committed to supporting intergenerational attendance while maintaining safety and containment.

Attendance with children is conditional upon full compliance with:

Key conditions include:

  • all children aged 3 - 15 must be registered for Kids Camp or Maiden’s Circle

  • carers retain full responsibility for children outside Kids Camp hours

  • children must not access restricted areas without supervision

  • failure to follow these requirements may result in removal from the Gathering and refusal of future attendance

By attending with children, you confirm your understanding of and agreement to these policies.

6. health, wellbeing and wellness

Wise Women Gathering operates in accordance with its Wellness Policy, which is incorporated into these Terms.

You agree to:

  • stay home if unwell or recently symptomatic

  • respect public health requirements

  • notify WWG if you test positive for a communicable illness shortly after the Conference

Participation during illness is not permitted where it may place others at risk.

7. environment, land and assumption of risk

The Conference takes place in outdoor and semi-outdoor environments, including uneven ground, natural terrain and communal spaces.

You acknowledge that:

  • participation involves inherent risks associated with outdoor environments

  • swimming and river access are the responsibility of primary carers

  • weather conditions may change and require adaptation

You agree to follow all safety instructions and accept responsibility for medical or related costs incurred due to injury or illness, except where limited by Australian Consumer Law.

8. recordings, photography and media

Photography and video footage may be captured during the Conference for documentation and promotional purposes by Wise Women Gathering and institute for self crafting.

At check-in, all attendees are required to opt in or opt out of the Media Release.

Your preference will be respected wherever reasonably possible.

9. tickets, cancellations and refunds

Ticket purchases and cancellations are governed by the WWG Cancellations and Refunds Policy, which forms part of these Terms.

This policy outlines:

  • refund windows

  • processing fees

  • transfer conditions

Australian Consumer Law rights are not excluded or limited.

10. intellectual property

All Wise Women Gathering frameworks, event structures, conference design, written materials, recordings, visual assets and organisational content are the intellectual property of Wise Women Gathering and/or institute for self crafting, unless otherwise stated.

Educator intellectual property

Educators and presenters retain full intellectual property rights to their own teachings, session content, frameworks, practices, stories and materials delivered at Wise Women Gathering. Participation in the Conference does not transfer ownership of educator content to Wise Women Gathering, institute for self crafting or attendees.

Use of materials

Attendees are granted a personal, non-commercial licence to engage with Conference materials for their own learning and reflection.

You may not:

  • record sessions without explicit permission from the educator and WWG

  • reproduce, distribute, teach, publish or sell educator or Conference materials

  • share recordings, handouts or written materials outside the Conference

Any recording of sessions, where permitted, will be clearly communicated in advance.

11. privacy and data

Wise Women Gathering collects and manages personal information in accordance with the WWG Privacy Policy, which is incorporated into these Terms.

Your information is handled with care and will not be shared except as required for Gathering operations or by law.

12. limitation of liability

To the maximum extent permitted by law:

  • we are not liable for indirect or consequential loss

  • participation is undertaken at your own risk

Nothing in these Terms excludes liability for gross negligence or obligations that cannot be excluded under Australian Consumer Law.

13. indemnity

You agree to indemnify Wise Women Gathering and institute for self crafting against claims, loss or damage arising from:

  • breach of these Terms or Conference policies

  • failure to follow safety or care guidelines

  • harm caused to others through negligent or reckless behaviour

14. dispute resolution

If concerns arise, please contact us first so we may attempt resolution in good faith. If unresolved, parties agree to attempt mediation prior to legal action.

15. governing law

These Terms are governed by the laws of New South Wales, Australia. Any disputes are subject to the jurisdiction of NSW courts and tribunals.

16. updates to these terms

These Terms may be updated from time to time. Changes will be posted on the WWG website and apply to future Gatherings.
